Smartsheet Use Case: Lease Expiration Tracking

For good reason, people use spreadsheets to track virtually anything. They are flexible, provide structure to otherwise loosely organized information, and best of all - they are easy to create and universally understood.

As Shaine Mata points out in a short video below, like all software, spreadsheets have their limitations. That's where Smartsheet comes in - to enhance the utility of spreadsheets by providing depth (files attachments, discussions, reminders, etc) and additional views (calendar and Gantt).  

In this use case, Shaine explains how Smartsheet can be utilized to organize and monitor the workflow surrounding lease expiration for properties. Key features he highlights:

  • Hierarchy - Easy to organize lists using collapsible task and sub-tasks
  • Reminders - Be notified via email when key dates approach
  • Discussions - Enter row specific notes or paste in email correspondence (files or Google Docs can be attached as well)
  • Send Row/Send Update Request - The ability to send a row(s) specific request to someone via email without having to expose the entire sheet to them
