Rows - Insert, Move, Indent, Sort, Delete

A row in Smartsheet has many powerful capabilities, many of which are available from the right click menu:

Insert Row

  • Right-click on a row number (or on a cell in that row) to get the row menu and select "Insert Row".  The row will be inserted above the selected row.
  • To insert multiple rows, multi-select the number of rows you want to insert (using Shift-click or Ctrl-click) and then right-click to select "Insert Row".  The same number of rows that you selected will be inserted as new rows above your selection.  
  • Or select a cell and click on the "Insert" key to quickly insert a new row above the selected cell.  Keep clicking the  "Insert" key to insert multiple rows

Sort Rows

  • To sort a section of a sheet, multi-select the rows to be sorted using Shift-click, then right-click on one of the row numbers in the highlighted set and select "Sort Rows".
  • To sort the entire sheet, right-click on a column header and select "Sort Sheet".
  • TIP: If you have used indent to create sub-items, the sub-items will be sorted but kept beneath their parent row.  The parent rows will also be sorted but their sub-items will move with them.
  • TIP: If you sort on a column that is a Dropdown List type, items will be sorted using the order of the dropdown list values (right-click on the column header and select "Edit Properties" to view/edit the Dropdown List values.)

 

Move Row

  • To move a row within the same sheet, click on the row number and drag it up or down the sheet.
  • A small blue arrow will indicate where the row  will be placed.
  • Release your mouse to move the row.
  • TIP: Use the Shift button or Ctrl button to select multiple rows to be moved at the same time

 

Move Row to Another Sheet

  • Right-click on a row number and select "Move Row to Another Sheet"
  • Select the destination sheet from the list or type in part of the sheet name to find the sheet, select and click "OK"
  • The row will be placed at the bottom of the destination sheet (and can the be dragged to a different location within the destination sheet).
  • Any attachments or discussions on the row will also be moved to the destination sheet.  The ability to View History on cells in that row will still be available as well.
  • TIP: If the destination sheet lacks any of the columns that the moved row has, new columns will be created in the destination sheet to ensure that all of the row data is preserve

 

Delete Row

  • Right-click on a row number and select "Delete Row"
  • Use Shift-click or Ctrl-click to select multiple rows to be deleted via the right-click menu command.
  • TIP:  The Undo command will bring back deleted rows as long as the sheet has not been saved since the Delete action.  However, deleted rows are not recoverable in the Deleted Items area in Home - only deleted sheets may be recovered from Deleted Items

 

Power Features

  • Row Attachments - attach relevant files to your row.  A paperclip icon will indicate which rows have attachments.  Click on the paperclip to view attachments and to attach additional files.  See the help section on Attachments for more detail.
  • Row Discussions - track discussions and comments at the row level.  A discussion bubble icon will indicate which rows have discussions.  Click on the icon to view existing discussions and add new discussions or comments.  See the help section on Discussions for more detail.
  • Row Reminders - set a reminder on a row for yourself or others.  Schedule the reminder for a specific date or relative to a date (like Due Date) in the row that may change.  See help section on Reminders for more detail.
  • Send Row - send a quick email to someone (they don't have to be shared the sheet) with the row information in the body of the email and a message from you (optional).  You can also choose whether or not to include row discussions and attachments (as links that enable downloading the files) in the email.
  • Send Update Request - want an update on a specific row or rows from someone?  Send them an update request.  They'll get a link that enables them to view and edit only the row or rows you include in the update request.  See the help section on Update Requests for more detail.

 

Frequently Asked Questions

Q. Can I copy and paste into a sheet from Excel or Google Docs?

A. Yes. If you prefer copy and paste over importing a .xls or .csv file, you can highlight the data you wish to bring into Smartsheet, click Ctrl+C, then click the cell in your Smartsheet and click Ctrl+V to paste. Formulas and formatting are not transferred when copying/pasting into Smartsheet.

 

Q. Can I have more than 50 rows on a sheet?

A.  Yes. While we only display 50 rows by default on newly created sheets, new rows are automatically added if you import or paste a larger dataset into a sheet. If you are manually entering data into a sheet, additional rows are added as you enter data in the last row.
