Cells - Edit, Spell Check, Copy/Paste, Move

Add information to a cell

  • Click on a cell and start typing to enter information.
  • Use Ctrl+Enter to insert a carriage return in a cell.  Apply the Wrap formatting option to a cell or column to see multi-line entries.  The Wrap option is located in the format toolbar on the left (next to Align).
  • You can type over existing information and save.  The previous entry will always be available if you right-click on the cell and select "View History".

Edit a cell

  • Double click or use the F2 key to edit the existing text in a cell

Copy, Paste

  • Use Ctrl+c to copy information from a document (e.g., from an Excel spreadsheet, email or Word document) and then select a cell in Smartsheet and use Ctrl+v to paste the copied text.
  • To copy/paste from one part of a sheet to another, use Ctrl+c/Ctrl+v or the Copy/Paste commands from the cell right-click menu.
  • TIP: the copy/paste commands on the right-click menu only work within a Smartsheet.  To copy from a document outside of Smartsheet and paste into Smartsheet or between two sheets, you must use the Ctrl+c/Ctrl+v keystroke commands.
  • TIP: you can copy an entire row between sheets using the Copy Row to Other Sheet command from the row menu.

Drag Fill

  • Select a cell, place your mouse cursor on the lower right corner of the cell, and drag the corner down or across to drag fill (a quick way to copy/paste) the contents of the cell to the other cells.

Spell Check

  • As you type, words that might be misspelled will be underlined.  You can right click on the underlined word to get a menu of alternative spellings to use as a replacement
  • Spell check is also available when you double click on a cell to edit.
  • TIP:  Spell check is only available if you are using the Firefox, Safari or Chrome browsers.  Microsoft's Internet Explorer browser does not enable spell check.

Move Cells

  • Select a cell (or cells), place your cursor on the cell border (the cursor image should change to a four-way arrow), click and drag the cell(s) to move them to the desired location.
  • Cells that are moved will overwrite the cells where they are placed.  Use the Undo button (or Ctrl+z) to undo the move action.

Clear Contents

  • Select a cell (or cells) and use the Delete key to clear the current contents of the cell(s) or right-click and select "Clear Contents".  The previous entry will always be available if you right-click on the cell and select "View History".

Paste Special
Paste Special enables you to select what to paste into selected cells.

  • Copy a cell or range of cells (via right click menu or Ctrl + C)
  • Select a cell or range of cells and then right click and select Paste Special. The Paste Special form appears.

  • Select Values if you only want to paste the contents of the copied cells with no formatting.
  • Select Formats if you only want to paste the formats of the copied cells (cell content will not be changed in the selected cells).
  • Select Links to copied cells if you are looking to create links to the copied cells.  Go to Cell Linking for more detail on this feature.

Link from Cell in Other Sheet

  • Take advantage of cell linking between sheets by right clicking on a cell, selecting Link from Cell in other Sheet and then selecting the sheet and cell you want to reference.  For more information on this feature, see the Help entry for Cell Linking.

Hyperlink
There are two types of hyperlinks you can insert in a cell (via right click/Hyperlink):

  • Insert a hyperlink to another Smartsheet - this will enable you to quickly open related sheets
  • Insert the url for any website - you can make the current text in a cell a live hyperlink or add your own friendly text for the hyperlink.

View History

  • Right click on any cell and select View History from the cell menu to see a time-stamped, user-stamped history of all changes made to a cell.
