Facilities Coordinator

Smartsheet is looking for a Facilities Coordinator to support the growing needs of our Bellevue office. The successful candidate must be exceedingly well organized and embrace the opportunity of supporting diverse programs. This position requires the ability to remain flexible, proactive, resourceful and efficient while maintaining a high level of attention to detail. This position reports to the Director of Office Operations located at our headquarters in Bellevue, WA.


  • Proactively support office and facility matters including responding to employee requests and reporting facility issues to building management
  • Conduct daily walkthroughs of facility and provide accurate reporting on issues and maintenance plans
  • Support and coordinate facility projects including new build outs, repairs and improvements to existing space
  • Manage and maintain office seating charts, coordinating with IT on employee workstation setup and decommissioning
  • Critically analyze space planning needs and provide solutions
  • Coordinate and execute office moves
  • Maintain organization/cleanliness in kitchens and storage areas
  • Coordinate daily relationships with office vendors for successful partnerships
  • Support internal meeting services, including conference room layout and setup
  • Assist in planning and supporting various office events
  • Provide additional support within Office team as needed
  • Provide occasional coverage for reception during breaks, lunches and as otherwise scheduled, including PTO


  • 1+ years of relevant experience in a Facility Coordinator or similar role
  • Proficiency with Google Mail and Calendar
  • Familiarity with Google Drive, Docs and Slides
  • Ability to identify and resolve problems in a timely manner, gather and analyze information skillfully
  • Exceptional organization, communication skills, attention to detail, and follow through
  • Demonstrated and effective interpersonal skills, including the ability to interact with individuals inside and outside Smartsheet in a way consistent with our values and commitment to service
  • Strong ability to prioritize and manage multiple projects, and follow through on issues in a timely manner
  • Ability to manage highly sensitive situations with professionalism
  • Strong decision-making ability
  • Ability to work independently, and demonstrate good personal judgment
  • Comfortable with shifting priorities and frequent change
  • Ability to move throughout the facility (standing, walking, kneeling, bending) for extended periods of time
