Smartsheet has integrated Artificial Intelligence (AI) into its services to empower you to drive meaningful change responsibly. But before we get into the details of the AI tools, let's be clear on what the integration of AI means for your data.

In short, AI is a system of algorithms, statistical models, and machine learning techniques that enable machines to learn from experience, recognize patterns, and provide probabilistic output based on data. AI systems are designed to operate with varying levels of autonomy, and at their core, receive input from a user (i.e., you) and generate output.

In recognition of the trust our customers have placed in us, we want to assure you that the data you use with our AI features is secure and isn’t used to train the AI models we leverage. Visit our Trust Center for details about our approach to data security.

Guidance for responsible use

Though AI is an exciting and powerful technology, keep in mind that there are some key limitations on its use based on the fundamental nature of how AI models work:

  1. AI is a tool. Despite the name including the word intelligence, AI isn't conscious —it's a tool. Like any tool, its use is the responsibility of the operator. This means that it is your responsibility to determine whether your use of our AI features is appropriate for your intended purposes and you must only input data to the AI features for which you have the right to do so.
  2. AI may hallucinate. AI doesn’t know whether its generated output is factual or not; it only knows that the output is the most suitable based on its algorithms, training data, and input. As such, you shouldn’t rely solely on AI for any purposes, including legal, financial, or medical purposes. It is your responsibility to review the output to ensure that it is responsive, accurate, and helpful.
  3. AI is amoral. AI isn't a person and, therefore, doesn’t have a sense of right and wrong. Unfortunately, this means that it's possible the AI model could produce biased, discriminatory, offensive, obscene, or otherwise harmful outputs. It is your responsibility to filter out and reject any such outputs and use only appropriate outputs. It is your responsibility to not submit input that is offensive or is intended or likely to result in offensive or harmful output.
  4. AI is probabilistic. Because AI is based on probabilities, similar inputs from other users may result in outputs that are the same or similar to outputs generated for you. Though you retain any inherent rights you may have to the output, it's possible that such rights may not be enforceable against another party.

In sum, keep in mind that AI is an experimental and emerging technology.


Generally available AI tools

We may add new AI tools from time to time or modify, improve, or remove existing ones in order to provide you with a better means of driving meaningful change. 

Generate formulas

When you use the generate formulas feature, your input and associated content is sent to a generative AI model that generates a responsive formula and a description of the formula. You may then choose to apply the formula into a cell or modify the formula as you see fit. 

The associated content used by the generate formulas feature includes your sheet’s column names and column types in order to enable the feature to correctly reference columns in the generated formula. Learn more about how to generate formulas with AI.

Generate text and summaries

When you use the generate text and summaries feature, your input and associated content is sent to a generative AI model that generates responsive output text which you may choose to apply to the selected cell. Along with the output text, the AI model also provides a brief explanation of its analysis to support your decision making. 

The associated content used by the generate text and summaries feature includes your sheet’s column names and column types along with any cell data referenced in your input. Learn more about how to generate text and summaries with AI.

Suggested descriptions for images in Brandfolder

When you use the suggested descriptions feature for images in Brandfolder, the image is sent to a generative AI model which analyzes the image and generates a responsive text description output. You can revise and/or accept the output to associate this metadata with the image. Learn more about how to create asset descriptions using AI

Smartsheet’s Limits Policy and Acceptable Use Policy apply to the access and use of all Smartsheet services and applications, including AI features. If we detect that AI feature usage becomes abusive or violates our policies, we may disable the AI features. We don’t currently have specific volume limits on AI feature usage, but reserve the right to enforce such limits in the future. Also, we don’t currently offer a way for you to track your usage of AI features, but will inform you if and when such insights become available.
