This High-Stakes Race Runs on Real-Time Visibility With Smartsheet

by Katy Beloof

The Rolex Sydney Hobart Yacht Race, run by the Cruising Yacht Club of Australia (CYCA), is one of the world’s toughest ocean races — and one of the most popular to watch, with fans in 220 countries tuning in live to watch the race. With a course that covers 628 nautical miles and includes more than 1,000 participants, real time communication is essential to running a safe and successful race.

CYCA race organizers chose Smartsheet to help them manage the year-round planning and organization of the race, from handling team entries to supporting the committee during the race to safely and swiftly reacting to any weather-related and other emergencies that arise.

With Smartsheet, race organizers are able to track incidents that happen during the race in real time and prioritize assistance accordingly. For example, a team may need to retire from a race due to a broken mast or a crew member gone overboard. The organizers can prioritize assistance, share information with emergency authorities, and keep records of the actions taken so that everyone on the water is safe and accounted for. This helps CYCA monitor trends and make decisions based on reports that include the empirical data that they’ve tracked in Smartsheet during the race, rather than anecdotal information.
