Paypal Makes Better Decisions Faster

By implementing Smartsheet, PayPal’s Office of the CIO was able to see processes from beginning to end, and pull together a summary view that enables them to move business forward with complete confidence.

It’s really important that on a day-to-day basis, we have clear visibility and line of sight to what’s occurring, what’s on point, who is on point, what’s next in each of these work streams. Smartsheet allows that summary view so you can really see the forest for the trees.

Jeff Cowley, OCIO Program Manager

Known as a leader in online payments technology, PayPal has a singular mission: to democratize financial services, making it easier for anyone—and any business—to move money.

PayPal achieves this by putting customers first—and that applies to organizations serving internal teams, as well as those supporting the 244 million active account holders on its worldwide digital platform.

One example is PayPal’s Office of the CIO (OCIO), which touches the gamut of internal functions, including finance, human resources, product development, risk management, sales, security, and more. “The ultimate goal here is to deliver on time, within budget, and on schedule,” says Jeff Cowley, OCIO program manager, explaining that his team manages a diverse portfolio of programs—each of which has around 15 work streams—that support hundreds of people in different internal functions across the U.S.

“We knew we needed a single system of accountability...a system of record for the portfolio as a whole,” he says, instead of the spreadsheets and dispersed manual processes they had been using. Smartsheet was the answer.

“It’s really important that on a day-to-day basis, we have clear visibility and line of sight to what’s occurring, what’s on point, who is on point, what’s next in each of these work streams,” Cowley says. “Smartsheet allows that summary view so you can really see the forest for the trees.“

Smartsheet also provides the accuracy, automation, data integrity, ease of use, flexibility and standardization that Cowley, colleague Billy Runyan and others in OCIO—including executives—rely upon to make informed business decisions.

“We have a C-suite level meeting every Thursday,” Runyan says. “We were assembling that content manually and it took an army so that we could have a productive conversation with our leadership team. With Smartsheet, now it’s all automated...the data is more accurate...it helps us make decisions faster as a result.”

Cowley says that OCIO and other organizations within PayPal continue to find more ways to use Smartsheet, which has proven its value over the past two years:

“With Smartsheet, we have 100 percent confidence that the integrity is there. The impacts that we’ve seen are really around accountability and quality. We put our customers first; looking at the areas of flexibility and the ease of use of the tool, what’s the information that they need to see on a day-to-day basis to have complete confidence that we’re delivering according to their needs and in the best interests of PayPal. Smartsheet satisfies all those needs.”
