Admins on assets are now able to streamline collaboration by sharing open links with anyone or specific domain users, making it faster than ever to provide access with just a simple URL.
Open Link Sharing:
- Use Open Link Sharing, OLS, to give authenticated Smartsheet users, even those outside your organization, the visibility they need in a single click. It’s the faster, more secure way to publish, removing the need for individual email invites.
- Assets remain "Restricted" by default, maintaining the “least-privilege access model” but default, until an admin intentionally changes the access on that item. Assets shared via link are not searchable; recipients must use the direct URL for initial access.
- This was enabled by default on May 7. You can manage this at any time in Admin Center > Security & Controls > General Access.
Domain Sharing:
- When enabled, admins can grant access to any authenticated Smartsheet user on your organization’s approved domains (e.g., @yourcompany.com).
- This is deactivated by default. It only activates once you approve specific domains within the feature settings.
A Note on Security & Enterprise Controls:
- Please note that if your organization has implemented Smartsheet’s Safe Sharing capabilities, link and domain sharing respect those policies.
- If you have configured Safe Sharing to allow only trusted domains or specific email addresses, those restrictions will continue to be enforced. This ensures that even with the new link-sharing framework, you maintain total control and reduce the risk of unauthorized external access.
