What Is a Construction Invoice?

A construction invoice is an application for payment for construction-related work and includes the total costs of materials, labor, and miscellaneous charges, as well as contract terms and the total amount due from the client. 

In short, a construction invoice breaks down materials and labor costs in a clear, easy-to-read document of payment due from the client to the contractor or construction company. You can also include line-by-line materials and labor descriptions, as well as enter subtotals, tax rate, total tax, other charges, grand total, less payment (amount paid to the last bill), and total due. Most construction invoices also include a section for the client’s signature and for a signed record of authorized payment.

Create error-free and detailed invoices by entering your construction-billing details in the following fields: 

  • Logo: Insert your logo or a graphic that adequately represents your services. 
  • Client: Enter the client’s name and contact details. 
  • Date: Enter the date of the invoice.  
  • Invoice No.: Enter the unique invoice number. 
  • Date of Work: Enter the date or date range (start and end dates) of the project.  
  • Payment Due By: Enter a date that payment is due by (e.g., “Net 30”).  
  • Check Payable Name: Enter the name of the individual or company the check should be made out to. 
  • Material: Enter a description for each material line item. 
  • Material Quantity: Enter the quantity for each material line item. 
  • Material Rate: Enter the rate for each material line item. 
  • Material Total: Verify the material total for each line item.  
  • Total Materials: Verify the auto-tally amount for all materials items. 
  • Description of Work: Enter a sufficient description of work for each component of the construction project you are billing for.  
  • Labor: Enter details for each labor-related line item.  
  • Labor Hours: Enter the number of hours for each labor-related line item.  
  • Labor Rate: Enter the hourly rate for each labor line item. 
  • Labor Amount: Verify the auto-tally amount for each labor line item. 
  • Total Labor: Verify the auto-tally amount for all labor items.  
  • Miscellaneous Charges: Enter details for each miscellaneous charge.  
  • Miscellaneous Amount: Enter the amount for each miscellaneous line item. 
  • Total Miscellaneous: Verify the auto-tally amount for all miscellaneous items. 
  • Customer Signature: Have the customer sign the document.  
  • Authorized Signature: You also have the option to include a signature from the customer’s authorized signatory. 
  • Contact Information: Enter contact details, should the client have any questions about the invoice.  
  • Subtotal: Verify the auto-tally amount for all materials, labor, and miscellaneous items is correct.  
  • Tax Rate: Enter the client’s tax rate.  
  • Total Tax: Verify that the tax rate is correct. 
  • Total: Verify that the invoice total — including total materials, total labor, total miscellaneous, subtotal, and tax total — are correct.
